When you send an enquiry through our contact form or by email, we collect the details you provide: your name, email address, contact number, organisation, the nature of your enquiry and your message. When you place an order or open an account with us, we collect the information needed to quote, invoice and deliver, such as a delivery address and company registration or VAT details.
Like most websites we also collect limited technical information automatically, such as your IP address, browser type and the pages you visit, through standard server logs and analytics cookies. This information is used in aggregate to understand how the site is used and is not used to identify you personally.
We use your information to respond to enquiries, prepare quotes, process and deliver orders, manage customer accounts, and keep you informed about products and monthly specials where you have asked us to. We do not sell personal information to anyone.
If you ask to join our specials mailing list, we will send you our monthly specials by email or WhatsApp. You can opt out at any time by replying to any message or emailing sales@hallmarkoffice.co.za, and we will remove you promptly.
We share personal information only with service providers who help us run the business, such as our website host, email provider, couriers and accounting software, and only to the extent needed for them to do so. We may also disclose information where the law requires it. We do not transfer your information outside South Africa except where a service provider stores data abroad under adequate protection.
This site uses essential cookies that make the site work and analytics cookies (Google Analytics) that help us understand how it is used. You can block or delete cookies in your browser settings; the site will still work, though some features may be limited.
We keep enquiry details for as long as needed to deal with your enquiry and for a reasonable period afterwards. Customer and transaction records are kept for the periods required by South African tax and company law, generally five to seven years.
We take reasonable technical and organisational steps to protect personal information from loss, misuse and unauthorised access, including secure hosting, access controls and encrypted connections (HTTPS) to this site.
Under POPIA you may ask us what personal information we hold about you, ask us to correct or delete it, object to direct marketing, and withdraw consent where processing is based on consent. If you are not satisfied with our response, you may lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).
